Setting up your first availability system

David Rezk 2025-03-18

Moving from WhatsApp groups to a structured availability system is the single biggest step a club can take toward organised performance operations. Here's how to do it.

Step 1: Define your statuses. Available, modified, follow-up, unavailable. Four statuses. No more. If you need more, you're overcomplicating it.

Step 2: Assign ownership. One person — usually the coach or a team manager — is responsible for keeping statuses current. Not three people. One.

Step 3: Set a daily rhythm. Players report wellness in the morning. The owner updates statuses by midday. The coach reviews before training.

Step 4: Start simple. Don't try to track everything at once. Start with availability. Add wellness after two weeks. Add load notes after a month.

Step 5: Review weekly. Every Friday, generate a summary. Who was available all week? Who missed sessions? What patterns are emerging?

The system doesn't need to be digital. A shared spreadsheet works for the first month. But once the habit is established, a digital platform like Kinetiq makes it faster, more reliable, and more useful.

The goal isn't technology. The goal is consistency. A simple system used every day beats a sophisticated system used occasionally.
